1. Information we collect
From homeowners, property managers, and organization accounts

- Property address and ZIP code
- Job description, budget range, and timeline
- Property access details you choose to provide (whether it's occupied, entry codes, pets, notes)
- Photos you choose to upload
- If you create an organization account: your name, email, and a password (stored as a one-way hash, never in plain text)
From contractors
- Business name, contact name, email, phone number
- License number, license expiration, insurance documentation reference and expiration
- Trades and service ZIP codes you cover
- Password (hashed)
- Job-related communications, arrival windows, call confirmations, and outcome reports
Automatically collected
- Basic device/browser information and IP address
- Pages visited and referral source (including UTM campaign parameters, if you arrived from an ad)
- A push-notification subscription token, only if you explicitly opt in to notifications in the contractor portal
2. How we use it
We use your information to operate the matching service: routing job requests to eligible contractors, letting a claiming contractor see the job details they need to do the work, sending status updates and notifications, verifying contractor eligibility, preventing fraud and abuse, and improving the Service.
3. How we share it
We share information only as needed to run the Service:
- With the matched party. A homeowner's job details go to the contractor who claims it (progressively, as they commit to the job); a contractor's business name, arrival info, and any photos they upload go to the homeowner/PM who submitted that job.
- With service providers we use to operate the Service: Resend (email delivery), Twilio (SMS delivery), and Render (hosting and file storage). These providers only receive what's needed to deliver their service and are contractually restricted from using it for their own purposes.
- If required by law, or to protect the rights, safety, or property of The Vendor List, our users, or the public.
We do not sell your personal information.
4. Data retention
We keep job/lead records, account information, and related communications for as long as your account is active and for a reasonable period afterward for recordkeeping, dispute resolution, and legal compliance purposes — generally up to 3 years after your last activity, unless a longer period is required by law or you request earlier deletion under Section 5.
5. Your rights and how to delete your data
Regardless of where you live, you can ask us to access, correct, or delete your personal information by emailing privacy@thevendorlistsc.com with your name and the email/phone associated with your submission. We'll verify your request and respond within 30 days.
Deleting your account removes your contact information and login credentials. Some records tied to a specific job (like the job description or an outcome report) may be retained in de-identified or minimal form where needed for legitimate business records, unless you specifically ask for full removal and we're not legally required to keep it.
If you're in the European Economic Area or UK, you additionally have rights under the GDPR, including data portability and the right to lodge a complaint with your local data protection authority. If you're a California resident, you have rights under the CCPA, including the right to know what's collected and to opt out of any sale (we don't sell data, so there's nothing to opt out of).
6. Text messages (SMS)
Contractors can choose to receive text messages from us alerting them to new leads matching their trades and service ZIPs. This is opt-in: it's off by default, and turning it on is never a condition of joining or staying on the list -- email notifications work either way.
- How you opt in: by checking the SMS box on the contractor application or in your account settings, providing the phone number the messages will go to.
- What you'll get: alerts about new leads matching your trades/ZIPs, and occasionally account-related texts (e.g. confirming a change you made).
- Frequency: varies based on how many leads come in for your trades and service area -- there's no fixed schedule.
- Cost: message and data rates may apply from your carrier.
- Opting out: reply STOP to any text at any time, or turn it off in your account settings. Reply HELP for help. We don't charge anything ourselves for these messages.
We use Twilio to send these messages; see Section 3 for how we share information with our service providers.
7. Cookies and tracking
We use minimal, functional tracking: a session identifier to remember where you came from (for attribution) and, for logged-in contractor/organization accounts, a secure login session cookie. We don't use third-party advertising trackers.
8. Children's privacy
The Service is intended for users 18 and older. We don't knowingly collect information from anyone under 18.
9. Security
We use industry-standard measures to protect your information, including hashed passwords and unguessable, token-based links for sensitive actions (like reviewing a job or viewing photos). No method of transmission or storage is 100% secure, and we can't guarantee absolute security.
10. Changes to this policy
We may update this Privacy Policy from time to time. We'll update the "Last updated" date above when we do.
